# Get Started

Get started by configuring your User and Account profile in two simple steps.

### Step 1 - Click <mark style="color:blue;">My Account</mark> on the upper right dropdown.

Click the <mark style="color:blue;">**Update Pic**</mark> button, select your picture and <mark style="color:blue;">**Save**</mark> to finalize the selection.&#x20;

### Step 2 - Select <mark style="color:blue;">**Account**</mark> on the Settings Dashboard.

Click the <mark style="color:blue;">**Update Logo**</mark> button to update your Account Logo.&#x20;

Enter your company profile and click <mark style="color:blue;">**Save**</mark>.

Great job! After setting up your profile, it's time to build your first Product. Please follow along in the next section, Build your first Product. We use an example of a Product, but you can use your own data.

# Build your first Product

### Step 1 - Select <mark style="color:blue;">**Products**</mark> on the Dashboard Side Navigation Menu.

Click <mark style="color:blue;">**Add Product**</mark>.&#x20;

### Step 2 - Enter Product information and select Product Type

You may add components after clicking <mark style="color:blue;">**Save**</mark>. &#x20;

A Supplier Product Type uses Supplier Listings as components. A Bundle Product Type uses Supplier Products and Supplier Listings as components. A Product type is permanent once created.

### Step 3 - Expand the **Components** card, select <mark style="color:green;">**Add Component**</mark>, and choose **Component Type**.&#x20;

A Supplier Listing is a direct integration to a Supplier's active Listing.&#x20;

A Supplier Product is a product you have previously created. Your Product must be a Bundle Type to use Supplier Product components.&#x20;

### Step 4 (Option 1) -  Invite New Supplier and Create Component

You can create a component for a Product and add a new Supplier in one step.

Select **Supplier Listing** under <mark style="color:blue;">**Add Component**</mark> dropdown.

Select **New Supplier** as Supplier Status in the popup. A New Supplier request will be sent to the Contact Email. Please ensure your profile pic, email, and title is current. Click <mark style="color:blue;">**Save**</mark>.

If the Supplier accepts your request, you may update this component with one of its Listings. If the Supplier takes no action, the Component Description will be used for all Purchase Orders to this Supplier.

A new component will be created as follows:

### Step 4 (Option 2) -  Add Current Supplier Listing Component

Select **Supplier Listing** under <mark style="color:blue;">**Add Component**</mark> dropdown.

Select **Current Supplier** as Supplier Status in the popup. Select **Supplier**, **Listing**, and set **Qty**. Click <mark style="color:blue;">**Save**</mark>.

# Add your first Listing

### Step 1 - Select <mark style="color:blue;">**Catalogs**</mark> on the Dashboard Side Navigation Menu.

Click <mark style="color:blue;">**Add Catalog**</mark>.&#x20;

### Step 2 - Enter Catalog info, select Primary Contact, and Save.

### Step 3 - Select the <mark style="color:blue;">**Listings**</mark> Tab and click <mark style="color:blue;">**Add Listing**</mark>.

### Step 4 - Select Product and enter Listing info as needed. Type into the Collections field to show options.

### Step 5 - Expand **Description** card and update details as needed.

### Step 6 - Expand **Volume Pricing** card and add pricing as needed by clicking <mark style="color:blue;">**Add Volume Price**</mark>. Click <mark style="color:blue;">**Save**</mark>.

# Accept and invite Customers

### **Step 1** - Click <mark style="color:green;">**Accept**</mark> for Customer Requests on the Main Dashboard.

Only pending Customer Requests are shown. Skip to step 2 if you don't have any Customer Requests.

A Customer will be created with <mark style="color:green;">**Connected**</mark> status. Account details are now linked between the Customer and your Account.

### **Step 2** - Invite New Customers by navigating to <mark style="color:blue;">**Customers**</mark> on the Dashboard Side Navigation Menu.

Click <mark style="color:blue;">**Add Customer**</mark>.

### **Step 3 -** Enter Customer info and <mark style="color:blue;">**Save**</mark> to send invite.&#x20;

A Customer will be created with status of <mark style="color:yellow;">**Pending**</mark>. An invite will be sent to the contact email. If the recipient accepts your request, this Customer status will update to <mark style="color:green;">**Connected**</mark>, otherwise status will be <mark style="color:red;">**Disconnected**</mark>.&#x20;

### **Step 4 - Assign&#x20;**<mark style="color:green;">**Connected**</mark>**&#x20;Customers to Catalog**&#x20;

Select <mark style="color:green;">**Connected**</mark> Customer and click <mark style="color:blue;">**Edit**</mark>.

### Step 5 - Toggle Assigned Catalog, Select Catalog, and Click <mark style="color:blue;">**Save**</mark>.

Customers will have access to all the Listings of their assigned Catalog. You can have multiple Catalogs with different Listings to match your Customers.

# Dashboard

The dashboard consists of the Activity, Customer Requests, and Supplier Request cards.

# Customers

Every Account can easily integrate with a Customer or Supplier in one step through an email invitation to join Apptiflo. Account integration is beneficial for syncing Account info and is the foundation for using Apptiflo's Purchasing features. No development or infrastructure setup is required.&#x20;

Customers assigned to a Catalog can access and order from the Catalog Listings.&#x20;

### Step 4 - Assigned Catalog

Define Listing access for this Customer by assigning a Catalog.

# How do I delete a Customer?

Navigate to Dashboard, select <mark style="color:blue;">**Customers**</mark> on the Side Navigation Menu.

You can only delete <mark style="color:red;">**Disconnected**</mark> Customers. Click <mark style="color:red;">**Delete**</mark>.

### **Step 2**&#x20;

Confirm and the Customer will be deleted from your Account. The corresponding Supplier in the Customer's Account will not be affected.

# How do I accept a Customer Request?

A Customer will be not be created on your Account. The requesting Account will have a Supplier with a <mark style="color:red;">**Disconnected**</mark> status.


# Suppliers

Every Account can easily integrate with a Customer or Supplier in one step through an email invitation to join Apptiflo. Account integration is beneficial for syncing Account info and is the foundation for using Apptiflo's Purchasing features. No development or infrastructure setup is required.&#x20;

Your Account, with proper access, can view and access Supplier Listings. You can create Products and place POs directly with Suppliers.&#x20;

### Step 4 - Main Support Contact

Choose a User as the primary contact for this Supplier.

Select the <mark style="color:blue;">**Listing**</mark> Tab. You may filter Listings by Name or Collection, if available.&#x20;

A Supplier will be not be created on your Account. The requesting Account will have a Customer with a  <mark style="color:red;">**Disconnected**</mark> status.


# How do I disconnect a Supplier?

Navigate to Dashboard, select <mark style="color:blue;">**Suppliers**</mark> on the Side Navigation Menu.

Click <mark style="color:red;">**Disconnect**</mark>.

### **Step 2**&#x20;

Confirm again.

The Supplier status will update to <mark style="color:red;">**Disconnected**</mark>. Account info between your Account and the Supplier Account will no longer auto sync. You can easily connect again if you change your mind.

# How do I delete a Supplier?

You can only delete <mark style="color:red;">**Disconnected**</mark> Suppliers. Click <mark style="color:red;">**Delete**</mark>.

Apptiflo Products are used directly in Purchase Orders to make ordering easy. We have Supplier and Bundle Product types. A Supplier Product consists of Supplier Listings linked to Connected Suppliers. Your Product components will sync as Supplier Listings update, keeping your Product up to date. A Bundle Product consists of Supplier Listings and Supplier Products. You can leverage Bundles to make your Products scalable. The end goal is to use the Order Builder to generate POs for all component Suppliers in one step.

A Supplier Product is a product you have previously created. Your Product must be a Bundle Type to use Supplier Product components.&#x20;

### Step 3 (Option 1) -  Add New Supplier Listing Component

You can create a component for a Product and add a new Supplier in one step.

Select **Supplier Listing** under <mark style="color:blue;">**Add Component**</mark> dropdown.

Select **New Supplier** as Supplier Status in the popup. A New Supplier request will be sent to the Contact Email. Please ensure your profile pic, email, and title is current. Click <mark style="color:blue;">**Save**</mark>.

If the Supplier accepts your request, you may update this component with one of its Listings. If the Supplier takes no action, the Component Description will be used for all Purchase Orders to this Supplier.

# Purchase Orders

An Apptiflo Purchase Order documents the items or services sold between two Accounts. The Account buying or issuing the Purchase Order (PO) is the Customer, while the Account selling or receiving the Purchase Order (PO) is the Supplier. A corresponding Sales Order is created in the Supplier's Account when a PO is made and approved. A Customer Account's Purchase Order is the same as a Supplier Account's Sales Order. Both Accounts can access the Apptiflo platform to process their documents, save time, and ensure accountability.

# PO Process Overview

## PO Creation

The Customer Account creates a Purchase Order by selecting an integrated Supplier. Users can add Supplier Listings (synced to the latest prices) or custom Items to the PO. Accounts can automate Budget Approvals to give Users the flexibility to make role-appropriate decisions. After finalizing the PO, the Supplier Account receives an email notification of a new Sales Order.  &#x20;

## PO Confirmation

The Supplier Account reviews the Sales Order and makes any needed adjustments. These adjustments are not visible to the Customer until the Supplier is ready and accepts the Sales Order.

The Customer Account will see an updated Purchase Order with the Supplier's adjustments. The Customer Account may review and request the Supplier to make further updates. Each Purchase Order is linked to a Sales Order and shares a note where both Accounts may update. This note serves as a history of changes.&#x20;

Once the Order is finalized, the Customer Account confirms the Purchase Order. An invoice will automatically generate and appear in the Supplier Account, while a Bill will be generated for the Purchase Order in the Customer Account. All documents are synced, so there is no additional effort to make updates as the orders change, saving more time and eliminating mistakes.

## PO Shipment

The Supplier Account processes and ships the Sales Order by entering shipped quantities. The Customer Accounts confirms that quantities have been received and marks invoice payments.&#x20;

# Customer creates PO

### Step 1

Navigate to Dashboard, select <mark style="color:blue;">**Purchase Orders**</mark> on the Side Navigation Menu.

Click <mark style="color:blue;">**Add Purchase Order**</mark>.&#x20;

### Step 2 (Option 1) - Current Supplier

Choose a Supplier to start a Purchase Order.

### Step 2 (Option 2) - New Supplier

You can start a Purchase Order and add a new Supplier in one step.

### Step 3

For this example, we will choose Current Supplier and click <mark style="color:blue;">**Save**</mark>.&#x20;

A new PO will be created and click <mark style="color:blue;">**Edit.**</mark>

### Step 4

Update fields as needed.&#x20;

#### Section 1  - Primary Details

* Accept by Date - Supplier needs to accept PO by this date.
* Ship by Date - PO needs to ship by this date.
* Discount - Click Check to apply promo code.
* Main Contact - Select contact from Account.

#### Section 3 (Option 1) - Add Listing Item

Click Listing Item under <mark style="color:blue;">**Add Item**</mark> dropdown. Choose a Listing item from the Supplier's Catalog and set order Qty.

#### Section 3 (Option 2) - Add Custom Item

Click Custom Item under <mark style="color:blue;">**Add Item**</mark> dropdown. Create items that are not part of a Catalog. The Supplier will be able to update this item later.

### Step 5

Click **Save** or <mark style="color:blue;">**Submit**</mark> to initiate approval process. If budget approval is not required, this Purchase Order will be sent to the Supplier for acceptance.

If you choose to Submit for approval, confirm <mark style="color:green;">**Submit**</mark>.

# Internal PO Approval

Requesting Account Internal Approval, if applicable.

### Step 1

Navigate to Dashboard, select <mark style="color:blue;">**Purchase Orders**</mark> on the Side Navigation Menu.

Click <mark style="color:blue;">**Edit**</mark>.&#x20;

Foreign currencies are automatically converted to the home currency using the daily exchange rate. The Order Total will be shown converted to the home currency until the Order is confirmed.

The Basic and Advance Budget will need to approve this Order with an equivalent order total of $43,119.20. Approvers for Basic approves first, and then approvers for Advance.&#x20;

These Budgets are used for illustrated purposes only. Your Account may have more or less Budget approvals.&#x20;

### Step 2 - Basic Budget Approval

The Approvals card shows the current approval status. The Purchase Order is restricted during the approval process. Only Approvers of the current Budget may update, approve, or decline the Order.&#x20;

#### Step 2 (Option 1) - Update Order

There are many occasions when Order details change. Only Approvers of the current Budget may make changes. After updating, click <mark style="color:blue;">**Save**</mark>.

#### Step 2 (Option 2) - Decline Order

Decline the Order and you may leave a note for record keeping. The Purchase Order status will update to **Void** and the approval process stops.

#### Step 2 (Option 3) - Approve Order

Approve the Order and the next Budget will be notified. If there are no additional Budgets for approval, this PO will be sent to the Supplier.

### Step 2  - Advance Budget Approval

The Approvals card will show the next Budget set for approval.

Only Gerald or Kade have access to update, approve, or decline this PO. For this example, we will approve and click <mark style="color:green;">**Approve**</mark>.

The Approvals card updates and PO status updates. An Order notification email will be sent to the Supplier.

The Supplier will have the opportunity to review and make any necessary updates, accept, or deny this Order. All updates will not be visible until the Supplier finalizes and accepts this Order.


# Supplier Accepts Sales Order

### Step 3

Click **Save,** <mark style="color:green;">**Accept**</mark>, or <mark style="color:red;">**Deny**</mark> to finalize. Saved updates will not be seen by the Customer until you <mark style="color:green;">**Accept**</mark>. An email notification will be sent to the Customer once you decide to <mark style="color:green;">**Accept**</mark> or <mark style="color:red;">**Deny**</mark> this order.&#x20;

Once accepted, only the Supplier may continue to make updates to an Order. You will need to communicate with your Customer and update as needed.

# Customer Confirms PO

Click <mark style="color:blue;">**Edit**</mark>.&#x20;

### Step 3

<mark style="color:green;">**Confirm Order**</mark> if everything looks right or <mark style="color:red;">**Retract Order**</mark> if the Order is not right. An email notification will be sent to the Supplier.

If you choose to <mark style="color:red;">**Retract Order**</mark> and PO status will be **VOID**.

# Supplier Processes Sales Order

{% hint style="warning" %} <mark style="color:green;">**Edit and View**</mark> Sales Order access is required. This is the collaboration phase with your  Customer. Order changes are reviewed and only the Supplier may make updates.&#x20;

Navigate to Dashboard, select <mark style="color:blue;">**Sales Orders**</mark> on the Side Navigation Menu.

Click <mark style="color:blue;">**Edit**</mark>.&#x20;

# Supplier Ships Sales Order

# Customer Receives PO

Scroll to Order Items card and update each Order Item's received quantity.&#x20;

If there are any discrepancies between shipped and received quantities, an alert will appear on the Order Item and respective Bill. The Supplier will need to reconcile the discrepancy and finalize the Order.

### Step 2 - Basic Budget Approval

The Approvals card shows the current approval status. The Purchase Order is restricted during the approval process. Only Approvers of the current Budget may update, approve, or decline the Order.&#x20;

#### Step 2 (Option 1) - Update Order

There are many occasions when Order details change. Only Approvers of the current Budget may make changes. After updating, click <mark style="color:blue;">**Save**</mark>.

#### Step 2 (Option 2) - Decline Order

Decline the Order and you may leave a note for record keeping. The Purchase Order status will update to **Void** and the approval process stops.

#### Step 2 (Option 3) - Approve Order

Approve the Order and the next Budget will be notified. If there are no additional Budgets for approval, this PO will be sent to the Supplier.

# Bills

An Apptiflo Bill is a document detailing the total amount purchased from a Supplier Account and is created when a Purchase Order is confirmed. Similar to Invoices, all PO updates propagate to the linked Bill. The Bill total is the expected payment to the Supplier Account.

# Sales Orders

An Apptiflo Purchase Order documents the items or services sold between two Accounts. The Account buying or issuing the Purchase Order (PO) is the Customer, while the Account selling or receiving the Purchase Order (PO) is the Supplier. A corresponding Sales Order is created in the Supplier's Account when a PO is made and approved. A Customer Account's Purchase Order is the same as a Supplier Account's Sales Order. Both Accounts can access the Apptiflo platform to process their documents, save time, and ensure accountability.&#x20;

An Apptiflo Order Estimate is a proposal detailing the items or services sold between two Accounts. The Account selling or issuing the Order Estimate is the Supplier, while the Account buying or receiving the Order Estimate is the Customer. The Customer Account reviews and accepts Order Estimates, which generate Purchase Orders, Sales Orders, Invoices, and Bills. Both Accounts have access to the Apptiflo platform to receive the Order Estimate and process the resulting Purchase Order.&#x20;

# Estimates Process Overview

## Order Estimate Creation

The Supplier Account creates an Order Estimate Purchase Order by selecting a Customer. Users can add Catalog Listings (synced to the latest prices) or custom items to the Order. After finalizing the Order Estimate, the Customer Account receives an email notification of a new Estimate Purchase Order. Once accepted, the Order Estimate flows into the Purchase Order process. &#x20;

# Supplier Creates Order Estimate

### Step 1

Navigate to Dashboard, select <mark style="color:blue;">**Sales Orders**</mark> on the Side Navigation Menu.

Click <mark style="color:blue;">**Add Order Estimate**</mark>.&#x20;

### Step 2 (Option 1) - Current Customer

Choose a Customer to start an Order Estimate.

### Step 2 (Option 2) - New Customer

You can start an Order Estimate and add a new Customer in one step.

Click <mark style="color:blue;">**Save**</mark>.&#x20;

A new Sales Order with status of Draft will be created. Click <mark style="color:blue;">**Edit**</mark>.&#x20;

Update fields as needed.&#x20;

#### Section 1  - Primary Details

* Accept by Date - Customer needs to accept Order Estimate by this date.
* Ship by Date - Order needs to ship by this date.
* Invoice Due Date - Invoice due date.

* Discount - Click Check to apply promo code.
* Main Contact - Select contact from requesting Account.

# Customer Approves Estimate Purchase Order

Review Purchase Order details and adjust **Main Contact**, **Notes**, and **Account Terms** as needed.&#x20;

Please collaborate with the Supplier, who can adjust other Order details. &#x20;

The <mark style="color:blue;">**PO Actions**</mark> will only be visible if the current User is assigned to a Budget that either exceeds the Order Estimate total or has the highest approval amount. If the Account doesn't have any Budgets, the current User needs <mark style="color:blue;">**Edit and View**</mark> Purchase Order access. &#x20;

#### Step 3 (Option 1 ) - Accept

Click <mark style="color:green;">**Accept**</mark> and confirm. An email notification will be sent to the Supplier and Purchase Order status will update to **Confirmed**.

#### Step 3 (Option 2 ) - Decline

Click <mark style="color:red;">**Decline**</mark> and provide feedback. An email notification will be sent to the Supplier and Purchase Order status will update to **VOID**.

Saved updates will not be seen by the Customer until you <mark style="color:green;">**Accept**</mark>. An email notification will be sent to the Customer once you decide to <mark style="color:green;">**Accept**</mark> or <mark style="color:red;">**Deny**</mark> this order.&#x20;

Once accepted, only the Supplier may continue to make updates to an Order. You will need to communicate with your Customer and update as needed.

# Invoices

An Apptiflo Invoice documents the total amount sold to a Customer Account and is created when a Sales Order is received. All updates to the Sales Order automatically update the linked Invoice. The Invoice total is the expected payment from the Customer Account.

Accounts may also create Invoices independent of any Sales Orders. Independent invoices will generate a Bill in the Customer's Account.

# Invoicing Process Overview

## Automated Invoices

At the core of Apptiflo's Purchasing platform is automating Invoices from Sales Orders. An Invoice is created after accepting a Sales Order from a Customer. All Order updates are to be completed on the Sales Order, such as updates to Order Items or shipment addresses. Updates will synchronize with the Invoice. &#x20;

## New Invoice Creation

An Account creates an Invoice by selecting an integrated Customer. Users can add custom items to the Invoice, and a corresponding Bill will be added to the Customer's Account. A manually created Invoice is not linked to any Sales Orders.&#x20;

## Payments

The primary purpose of Invoices and Bills is to see the payments due. Customer Accounts can record their payments on Bills, while Supplier Accounts can confirm payments on Invoices. This confirmation provides a clear record of payment attached to each Order. Apptiflo does not process any payments because every Account needs the flexibility to make payments that fit their terms.

# Mark a payment for a Bill

# Verify payment for an Invoice

# Order Builder

Apptiflo Order Builder aggregates Supplier Listings, Products, and Sales Orders to generate multiple Purchase Orders simultaneously. For example, an Account can create a Build with Listings from five different Supplier Listings, Products with components from another 10 different suppliers, and Sales Orders from 20 Customers. Builder will create Purchase Orders for each Supplier with matching Listings and Order quantities. Building orders should be this easy.
